REGULARLY SCHEDULED MEETING MONDAY FEBRUARY 1 5 , 2021

Director Dean provided information on the "Fairhope Library Virtua l Programming Survey", (see attached)
and currently underway as well as current library virtual programs offered. Due to COVID restrictions, all
programming is now virtual conducted through live (zoom) programs and offered with non-l ive (recorded)
and stored YouTube record i ngs. Clients may stay i nfor med through library website & library's Facebook
page. lnstagram soon to be available.
Director provided handouts: "Circu la t ion at Fairhope Public Library", "Vi rtual Program Attendance",
"Patron Visits", "Recent Comments"," "Overdrive/Libby E-Books" and "WiFi Sessions". (See attached).

Second Floor Project: Review of the Mott MacDonald Revised Proposa l for Interior Design Serv ices for
Fairhope Publ ic Lib rary Renovations, dated February S, 2021, (see attached), was conducted. The Board
of Trustees was informed that the proposa l did not need an additional bid for consideration as the
proposal came in u nder $15,000.00. Addit ionally, t he Board of Trustees was informed that Mott
MacDonald was the preferred provider for services, determined previously by the Board of Trustees.
Trustee Johnson moved to sign the proposal. Vice Chairman Stankoski provided second. Unanimous. Said
document was signed in the presence of the Board of Trustees by Chairman Lanaux. (See attached).
Personnel Changes (new employees): Maureen (Mo) Schwer is Admin istrative Assistant. De r ise Sm ith is
in Circulation Department.
Library Articles of Inco r poration: Di recto r wil l contact City Attorney for status update.
Literary Landmark: COV ID restrictions have thwarted event planni ng. 2021 Honoree: Betty Joe Wolff.
Library COV ID Phase Two Restrictions: implemented Monday, June 22, 2020 and continue adherence.
Curb side service contin ues to be offered/provided.
Five Year Strategic Plan 2021 -2026: completion underway and plan to be submitted at next regularly
scheduled meeting of the Board of Trustees.

Chairman Lanaux moved to rescind January 22, 2020 motion to revise By laws of the Board of Trustees of
Fairhope Public Library, Section IV.(1) Regular Meetings. Vice Chairman Stankoski provided second.
Discussion. Unanimous. By law Section IV.(1) Regular Meetings rema ins intact and continues to state that
"The Board of Trustees of the Fairhope Public Library shall meet monthly, with a minimum of six (6)
meetings to be held each year. Regular meetings shall be held the third Monday of every month at SP.M.
in the library or at such other time and place as the Board may determine."

2021 Library Budget : Vice Chairman Stan koski made t he fol lowing motio n: th at in keeping with City of
Fairhope 2021 Bu dget which incl udes a t w o percent increase in City employee sala ry, and, in order for
Fairhope Publ ic Li brary emp loyees to rece ive a like m inded two percent (2%) sa lary increase, the Library
Director shall crea t e an d submit a 202 1 Fai rh ope Public Library Supp lement al Budget to City of Fai r hope
for consideration . Tr ustee Wright: Second. Unani mo us.
Circulation/IT De part ment: New job desc ript ion/position crea t ed for Circu latio n Departm ent Head/IT
Specialis t . Em ployee Rob Gourlay moves into t his new position. New j ob description w it h "exempt"
position stat us provides assistance for Circ ulat io n Department Hea d/IT Specia li st. Employee, Lisa Hava rd,
moves into this position . Chairman La naux, on behalf of the Board of Trus t ees, extended congra t ulations
to Rob Gourlay and Li sa Harvard upon t hei r new pos itions and tha nked Li brary Directo r Dean fo r creatively
resolving concerns.
Genie Jones Re tirement: it was agree d t hat in order t o acknowledge the disti nguished eleven year service
and retirement of em ployee, Genie Jones, t hat Trustee Wright shal l, o n beha lf of the Board of Trust ees,
create a reti reme nt gift and sha ll be presented to M s. Jo nes at the approp ri ate t ime of re tirement.
Friends' Fund raising Proj ect: Tr ustee W r ight informed the Boa rd that t he fundraising event, 2021
Champagne and Choco late, will not be held d ue t o 2021 COVID restrict ions. Trustee Wright info r med the
Board that, instead, a different fund raising pr oject is being cons idered and is in the exploratory phase;
that is, for a suggested dona t ion, a memorial 8" by 8" inscriptive paver may be installed in an ap proved
and appropr iate locati on at the front pub lic en t rance area of t he library building.
Secretary Wilson moved that t he Board of Tr ustees has no objection to the Frie nds of the Libra ry mov ing
forward to consi der and explo re the possibi lit ies of the ir 2021 fu ndraisi ng project , specifically, to consi der
insta lling 8" by 8" memorial pave r s in an appropriate, approved, locat ion in t he front public entrance area
of the Fairhope Public Library. Tr ustee Jo hnso n: Seco nd. Unanimous.
